This applies to to Organisation Admins
After logging in, you’ll see the Onboard Wizard on your home page. This is where you can start the setup process.
2. Download the onboarding template
To get started with the template file, just click Download sheet.
This spreadsheet helps you upload your organisation’s data, including groups, report users, and check-in users.
3. Completing the onboarding template
The spreadsheet contains three tabs:
Group or Team
This tab is where you add or update your existing teams.
Each Group/Team/Form name must:

Be unique
-
Have a designated lead
-
Include the email addresses of users who should:

View reports for this team
-
Receive alert notifications

If you have an integration set up (e.g. Wonde), your groups will be fetched automatically. You can then remove any groups that you do not wish to include in surveys.
Dashboard Access
List all report users in this tab.
Anyone listed under Group or Team must also appear here.
This ensures users have access to the relevant dashboards.
Check-in Users
Add all users who will receive the check-in surveys.
Note:
If you have an integration set up (e.g. Wonde), you do not need to complete this tab, as these users will be imported automatically once the template is uploaded.
4. Upload the onboarding template
Once your template is ready you are now ready to Upload Data
Once uploaded, we verify your document to make sure it has valid email addresses and that we have all the information we need. If we spot anything that is not quite right we will show a message.
However, if it uploads successfully then the next screen you will see is:
Review Your Teams
You’ll see the teams identified in your upload.
You can expand each team to view or edit:

Report Users
-
Alert Users
-
Invitees
Confirm First Check-in and Welcome Email
Before your first check-in, all invitees will receive a Welcome Email introducing them to Govox and explaining how check-ins work. If you don't want to send a welcome, you can leave this field empty.
Choose Frequency
Next, choose how often check-ins should be sent.
The system will suggest proposed dates automatically. You can:

Adjust these dates manually

Prevent invites, reminders, and results from being sent on weekends

Set an end date (for example, to stop surveys over the summer holidays in schools)
You can also select Custom to build your own specific schedule.
Additionally, you can choose which days of the week invites are sent—one or several, depending on your preference.
5. Submit onboarding request
Once you’re happy with your schedule and configuration, click Submit.
You’ll see a confirmation message:
Success! Your data has been submitted.
We've received your data and will start to process it.
